A gym earns from memberships, and a membership is only worth something if you know when it started, when it ends and whether it is paid. In a paper register those three facts sit on different pages. By the middle of the month nobody at the front desk is sure who is paid up and who is training for free.
The fix is not complicated. Keep one member list, give every member a plan with an expiry date, and mark every check in against that list. The rest of this guide walks through each part.
Where the paper register lets you down
A register is fine for writing a name on the day someone joins. The trouble starts later. To find one member you flip through pages. Names are crossed out and corrected in pencil. If the register is lost or gets wet, the whole record of the gym goes with it.
The bigger cost is quiet. A membership ends, nobody notices, and the member keeps coming for two more weeks. Nobody meant any harm. The register simply cannot raise its hand and tell you.
One member list with every expiry date
Start with a single list of members that you can search by name in seconds. For each member it should show:
- The plan they are on.
- The start date and the expiry date.
- Whether the fee is paid or still due.
- Their past payments, so any question is settled quickly.
When this list lives on a phone at the front desk, the owner can check it from anywhere, and it does not depend on the one person who knows the register.
Plans and packages, set up once
Most gyms sell a few plans: monthly, quarterly and yearly, plus personal training packages. Write these down once, with the price and the length of each. Then joining a new member is just picking the right plan, and the expiry date follows from it.
Personal training is best kept apart from the general membership. A member who buys a block of sessions should be able to see how many are left, and so should the trainer.
Check ins that tell you who is due
A check in is more than a count of who came today. It is the moment the front desk meets the member, so it is the best moment to notice an expired membership or a pending fee. If the check in screen flags it straight away, the talk happens politely at the desk, not weeks later.
doublesixOS gym management software keeps members, plans, check ins, fees and trainer schedules in one place. Check ins are marked in a few taps and an expired or pending membership is flagged at once. Every fee payment produces a PDF receipt that can be sent to the member on WhatsApp. Automatic WhatsApp renewal reminders are coming soon.
Fees and receipts without a diary
Record each payment when it is made, against the member, and give a receipt every time. A receipt sent on WhatsApp stays on the phone of the member, so there is no argument later about what was paid and when. At the end of the month the income is already added up.
Renewals: do not wait for the last day
Look at the list of memberships that end in the coming days, and message those members before the date. A short, friendly WhatsApp message a few days ahead is usually enough. Members who are reminded early tend to renew without being chased.
Start small and simple
You do not need to move everything in one day. Add your active members, set up your plans, and start marking check ins. Keep the paper register beside you for the first weeks if it makes the team comfortable. Once the list is doing the work, the register stops being opened.
